Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will be proactive, efficient, and able to handle multiple tasks while maintaining a high level of professionalism and confidentiality. You will be responsible for managing schedules, coordinating meetings, handling communications, and assisting with special projects. The Executive Assistant plays a critical role in ensuring the smooth operation of the executive’s day-to-day activities.
Key Responsibilities:
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.
- Serve as the point of contact between executives and internal/external stakeholders.
- Prepare and edit correspondence, reports, and presentations for executive review.
- Coordinate executive team meetings, prepare agendas, and distribute meeting minutes.
- Handle confidential and sensitive information with discretion.
- Assist with the preparation of executive reports and presentations.
- Organize and prioritize incoming communications, responding when appropriate.
- Assist with special projects as needed, including research and document preparation.
Qualifications:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Exceptional organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently, anticipate needs, and manage multiple priorities.
- High level of discretion and professionalism in handling confidential information.
- Bachelor’s degree preferred, but not required.
Desired Skills:
- Experience with project management software and tools.
- Familiarity with handling travel logistics and event planning.
- Ability to work in a fast-paced environment with minimal supervision.
