What The Role Entails

CloudHQ is seeking a talented Administrative professional, skilled across multiple disciplines, to support the local data center construction teams. They will lead the execution of various events, including planning and logistics for key milestones to support the onsite teams. The successful team member will be a Cultural Ambassador and should enjoy working in a complex, highly active environment where collaboration, planning, execution, and communication is key to their success. The Construction Administrative Coordinator will work very closely with the Development Manager, Construction Manager, and Executive Leadership to ensure all facets of the day-to-day operational needs are met.

What You Will Get To Do

  • Engage on site specific special projects and organizational developed projects
  • Assist with and coordinate site tours and visits where applicable
  • Assist with and execute site development projects with the Development Manager and construction team
  • Ensure the organization and cleanliness of the data center facility
  • Assist with set-up, moves, and configuration changes & providing miscellaneous supplies as needed
  • Maintain onsite contact lists
  • Act as liaison between LATAM and headquarter accounting teams
  • Coordinate on and office site employee social events
  • Work directly with the Global Events team on corporate planned events
  • Assist with and schedule onsite professional training classes
  • Support the Site Manager and Community Development team with community events and media appearances, as needed
  • Supports the community grants program for your area in collaboration with the Community Development Team
  • Document control process including sign-offs and submissions
  • Analyze, track and report on local community outreach projects as needed
  • Coordinate community outreach opportunities for your DC team in collaboration with the Community Development Team
  • Track local event budget and projects
  • Communicate and escalate any issues related to the functions mentioned here
  • Track and report on satisfaction budget
  • Analyze/Track/Action Open PO’s in conjunction with our Supply Chain Operations (SCO) Team
  • Work directly with corporate Procurement Operations to on board and order from various vendors used at the Data Center
  • Reconcile charges from various expense accounts
  • Assist in the management of the culinary and micro kitchen teams
  • Identify with SCO and track non-critical vendor KPIs
  • Other duties as required by the Site Manager

What You Bring to The Role

  • Three (3) years of project manager/office manager experience
  • Must have excellent verbal and written communication skills in English
  • Event planning experience
  • Budget management experience
  • Planning, organizing and time management experience
  • Experience with Microsoft Office suite (specifically Excel, PowerPoint and Word)
  • Communication skills
  • Experience in team building
  • Experience handling confidential information

Our Ideal Candidate Will Also Possess

  • Ability to communicate professionally, both verbally and written, in Portuguese and Spanish
  • Knowledge of business and management principles
  • Experience working independently as well as partnering with others
  • High level of attention to detail and accuracy
